01 What we collect
- Registration: name, date of birth, gender, blood group (optional), district, address, mobile number, email, emergency contact, occupation or affiliation (optional), kit sizes if you order the jersey kit, and the events you enter.
- Payments: the UPI/transaction reference you enter, the amount, and any payment screenshot you attach. We do not collect card or bank login details; you pay through your own bank or UPI app.
- Membership and sponsorship: the contact and organisation details you give on those forms, and for sponsors any logo and company details supplied.
- Media: photographs and video taken at championships, with your consent given at registration.
- Technical: basic server logs (such as IP address and time) kept to keep the site secure and to limit abuse.
02 Why we use it
- To process your entry, verify your payment, check your age category and run the championship.
- To contact you about your registration, schedule changes and results — by email, SMS or WhatsApp, as you chose.
- To keep your emergency contact available in case of a medical situation at the venue.
- To maintain Masters rankings and records, and to report results to MAFI, Asian Masters Athletics and World Masters Athletics where required.
- To respond to membership and sponsorship enquiries.
03 Who can see it
- Authorised federation officials, registration desk staff and volunteers, who see only what their role needs.
- MAFI and the governing bodies above, for competition administration and rankings.
- Service providers that help us run the site (hosting and email delivery), under duties of confidentiality.
- Where the law or a court requires it.
- We do not sell your personal data. Results may be published with your name, category and performance.
04 How long we keep it
We keep registration and result records for as long as needed to run championships, maintain records and rankings, and meet accounting and legal obligations. Payment screenshots and similar supporting documents are kept only as long as needed to verify and reconcile the payment.
05 How we protect it
The site uses encrypted connections, access is limited to signed-in staff, uploaded files are stored privately, and administrator activity is logged. No system is perfectly secure, so please protect your own devices and registration links.
06 Cookies
The public site does not use advertising or tracking cookies. Staff sign-in uses a strictly necessary session cookie, and your browser may keep a temporary draft of an unfinished registration on your device so you do not lose your answers.
07 Your choices and rights
- Ask to see, correct or update the information we hold about you.
- Withdraw your consent for photographs or for non-essential messages at any time; this does not affect what has already happened.
- Ask us to erase your data where it is no longer needed. We may need to keep some records for legal or competition-integrity reasons.
- Make a complaint to us about how your data is handled. Write to the contact below and we will respond promptly.
08 Changes
If we change this policy we will update the date at the top of this page. For significant changes we will also tell registered participants.
